This job was posted by : For more information, please see: Position description: The Customer Service Coordinator must have a happy, positive attitude, excellent telephone presence, and skills, be able to speak English fluently and clearly, be able to take detailed messages without mistakes, greet visitors to the office and make them feel comfortable, maintain an orderly desk, perform various administrative tasks (filing, prepare mailings, type correspondence, assists the Office Assistant/Maintenance Account Manager/Estimators and assists the office manager, etc.), and maintain a professional yet friendly presence in the reception area. Performs well under pressure and can manage multiple call lines. The main focus of the Customer Service Coordinator is to assist the Office Assistant/Maintenance Account Manager/Estimators and work closely with them to set up appointments, send proposals, and follow-up on proposals. Client acquisition and customer service is a top priority.2. Reports to The Customer Service Coordinator directly reports to the Office Manager.3. Skill sets and educational requirements: The Customer Service Coordinator must possess the following skill sets and educational background:A. Customer service experience required.B. Preferably have a high school education.C. Able to communicate on the telephone in a professional and courteous manner.D. Possess excellent oral and written communication skills.E. Be bilingual in English and Spanish, both orally and in writing (preferred).F. Be positive, cheerful, friendly, and helpful.G. Proficient in MS Word and e-mail use.H. Proficient in typing and capable of typing 50 WPM with fewer than three mistakes.I. Able to create an atmosphere of cooperation and professionalism.J. Is eager to learn company systems.K. Is eager to support and help other team members.L. Has a positive demeanor and is pleasant to work with.4. Responsibilities:A. Thoroughly understands and complies with company policies, procedures, and SOPs for the Customer Service Coordinator.B. Maintains and follows the schedule identified for the Customer Service Coordinator.C. Maintains the reception area in a neat and orderly fashion.D. Maintains a positive, cheerful, friendly, and helpful demeanor at all times.E. Writes, maintains, and updates SOPs (standard operating procedures) for his/her job.F. Receives all incoming telephone calls, new customer emails, and directs them accordingly.G. Greets all visitors and ensures that they are sent to the right departments.H. Assists the Office Manager with mailings, filing, miscellaneous administrative tasks, typing, etc., as necessary.I. Effectively operates the company telephone system and understands proper telephone protocol. J. Properly directs callers to appropriate company personnel and/or takes and disseminatesmessages as appropriate.K. Set appointments and create schedules for Estimators.L. Accurately file paperwork as directed by the Office Manager.M. Communicates professionally and courteously to all personnel inside and outside of the company.N. Continuing education requirement: minimum of 10 hours per year.O. Maintains a teachable attitude and is eager to learn company procedures.
