This job was posted by : For more information, please see: *POSITION SUMMARY:Working under administrative supervision and with moderate difficulty, this position is responsible for providing high level administrative support to the Department Director. This position also provides administrative support to various related agency and governmental councils and committees.ESSENTIAL DUTIES AND RESPONSIBILITIES: Drafts and finalizes correspondence, reports, executive summaries, and compliance documentation, and maintains files of all such records, to ensure state and federal program compliance and effective program operations Coordinates and maintains Director's calendar and schedules meetings for Director to maximize the efficiency and effectiveness of the Director's program operations and meet the needs of program clients Arranges for Director's in-state and out-of-state travel to ensure compliance with program and travel policy guidelines Serves as the first point of contact between the Director, Assistant Directors, and community partners to ensure strong working relationships Manages distribution of incoming and outgoing correspondence and communications and responds to various inquiries to ensure timely and appropriate response and service delivery Collaborates on special projects as assigned, to support effective and efficient program operations, including: Research and data collection, preparing grants, and developing and implementing departmental policies and procedures Manages administrative duties for various agency and governmental council and committee meetings and departmental meetings to support the Director's effective and efficient leadership and participation, including: Preparing meeting materials; coordinating meeting logistics, arrangements, and equipment; and recording and transcribing minutes.
